Cash Accountant

LOCATION: Palmer Lake, CO

REPORTS TO: Controller

JOB STATUS: Full-time

JOB SUMMARY:

The Cash Accountant is responsible for all aspects of the revenue and payables cycles.

RESPONSIBILITIES AND DUTIES

Revenue

  • Daily processing of mail and preparation of bank deposit
  • Daily entry of checks into CRM
  • Daily reconciliation of online transactions between payment processor and CRM systems
  • Daily monitoring of declined transactions for indications of system issues
  • Weekly imports of Sponsorship, General, Designated, and Travel revenue from CRM to Accounting System
  • Review and correction of any missing donation designation detail information in CRM
  • Clearing suspect receipt transactions from payment processor system
  • Monitoring of donors and sponsors’ lapsed gifts, follow cancellation procedures
  • Respond to questions on recurring and non-recurring payment information internally and from donors
  • Serve as backup for donations and sponsorship servicing for payments processing
  • Prepare weekly report of check donations for receipt mailings
  • Monthly reconciliation of revenue between CRM and Accounting System
  • Monthly preparation of revenue release and reclassification journal entries
  • Monthly preparation of reminder letters to quarterly and annual check payers
  • Annual verification and preparation of giving statement data

 

Accounts Payable

  • Prepare weekly estimate of payables for Controller
  • Assembly of A/P invoice, statement, and payment authorization documentation for entry into Accounting System
  • Weekly preparation of A/P check run
  • Maintain records of prepaid expenses and record appropriately in Intacct
  • Monthly reconciliation of corporate credit card logs and backup documentation
  • Vendor follow-up regarding uncashed payments issued
  • Annual preparation of 1099s and 1096
  • Completion of credit applications for vendors

 

General Financial

  • Weekly check for duplicate donor accounts and consolidation of such
  • Monthly preparation of Designated gifts wire planning worksheets
  • Calculate and initiate wires to countries and partners
  • Periodic review of designated project balances available for release
  • Other duties as assigned

Human Resources Administrator/Executive Assistant

REPORTS TO: CEO

JOB STATUS: Part-Time (32 hours/week) eventually transitioning to Full-Time (TBD)

LOCATION: Palmer Lake, CO

JOB SUMMARY:

The Human Resources Administrator/Executive Assistant will direct and perform the HR function for Children’s HopeChest and serve as Executive Assistant to the CEO.

HR responsibilities include overall administration, hands-on management and implementation of human resource plans and procedures for the organization, including: developing and administering human resource plans and procedures that relate to company personnel; manage and perform the day-to-day activities of the HR function; managing and administering the payroll and benefits system; oversee recruitment efforts; and develop, revise and recommend personnel policies and procedures.

Executive Assistant to the CEO responsibilities include administering and updating organization and department dashboards on a weekly basis; managing calendars; making travel arrangements; create and refine presentations; prepare expense reports; take minutes during meetings; and act as office manager.

The ideal candidate must have strong interpersonal skills, be highly organized, able to manage multiple projects at one time, complete tasks in a timely manner and be customer/constituent focused.

DUTIES AND RESPONSIBILITIES

Donor Engagement Intern

STATUS: INTERNSHIP – PREFERRED TWO DAYS A WEEK

JOB SUMMARY:

Intern to assist with donor engagement at Children’s HopeChest, a Christian nonprofit that releases the potential of vulnerable children and their communities around the globe through Community-to-Community partnership. The successful candidate will have interest in international development, orphan care, excellent research and writing skills, will be detail-oriented and organized, and will be highly relational with strong communication skills.

The ideal candidate must have strong interpersonal skills, must be highly organized, be able to manage multiple projects at one time, complete tasks in a timely manner, and must be very service-oriented. A minimum commitment of two days a week is preferred. This is an unpaid position. Internships are eligible for college credit.

RESPONSIBILITIES:

  • Work with Vice President, Major Giving to create communication automation within a CRM.
  • Correspond with HopeChest sponsors, donors and potential donors via e-mail, telephone and mail to support fundraising initiatives and further HopeChest’s mission and vision
  • Manage welcome packets for new, first time donors
  • Write thank you notes and acknowledgment letters
  • Research grant and foundation opportunities
  • Research prospective institutional and individual funding sources
  • Assist with monthly donation tracking, data analysis, and monthly donor prospect research
  • Research and lapsed donors
  • Update account information in the donor database
  • Support Vice President, Major Giving

Social Media Intern

The Social Media Intern position presents a meaningful opportunity to use your marketing, storytelling, and graphic design skills while gaining hands-on experience. (This is an intern position. There will be no compensation or pay with this position.)

Sponsor Mail Volunteer

STATUS: VOLUNTEER

REPORTS TO: Sponsorship Administrative Assistant

LOCATION: HEADQUARTERS: PALMER LAKE, CO

JOB SUMMARY:

Are you interested in reading about children’s lives from all over the world? You can support Children’s HopeChest by volunteering to read through mail to, and from, our sponsors! Your time as a volunteer plays an integral part in encouraging healthy relationships between sponsors and sponsored children, and helps our organization to get mail to sponsors/sponsored children as quickly as possible.
As a Sponsor Mail Volunteer, you will be reading mail to ensure there is no problematic content. For this position you will also be stuffing and labeling envelopes and operating a postage meter.

QUALIFICATIONS:

  • Needs to be able to understand and follow directions easily
  • Needs to be an independent worker

TIME COMMITMENT 

  • Flexible schedule
  • Any weekday except Thursdays
  • Minimum of two hours a week (unless you have so much fun that you want to stay longer)
